Administrative Services Associate

POSITION SUMMARY: To perform administrative service functions, provide exceptional internal and external customer service, and project a positive Agency image.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Work directly under the supervision of the Administrative Services Manager.
  • Answer telephone, route calls to appropriate staff members and/or voice mail and take messages
    when necessary.
  • Maintain a neat orderly appearance of the front desk and reception areas.
  • Greet visitors, ascertain nature of business, and direct visitors to appropriate Agency personnel.
  • Sort and route all incoming mail to the proper departments.
  • Update and maintain mailing list data bases.
  • Provide administrative support for agency programs and special projects as needed.
  • Assist Administrative Services Manager with the coordination of staff schedules and duties.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

No supervisory responsibilities.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE:

Associates degree or a high school diploma or GED certificate and experience equivalent to two years of
college. Experience in clerical and office operations required. Basic knowledge of Microsoft Word and
Access. Must be able to work well with people required.

LANGUAGE SKILLS:

Ability to read and comprehend instructions, short correspondence, and memos. Ability to write simple correspondence.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

REASONING ABILITY:

Ability to apply commonsense understanding to carry out instructions furnished in written, or oral form. Ability to deal with problems involving people at the front waiting area, if situations arise.

OTHER SKILLS & ABILITIES:

Must have the ability to work well with people, particularly customers on a personal basis.

PHYSICAL DEMANDS:

The physical demands described here are representative of those an employee encounters while performing
the essential functions of this job. Reasonable accommodations may be made to enable individuals with

While performing the duties of this job, the employee is regularly required to communicate and express
oneself. The employee frequently operates a computer, using other tools and controls, and positioning
oneself to operate computer and other office equipment. The employee is frequently required to remain in
a stationary position, and then occasionally move about inside the office to access workstation, office
equipment, and file storage areas, etc. The employee must be able to travel in all kinds of weather.
While performing the duties of this job the employee may need to regularly move up to 10 pounds and
frequently move up to 15 pounds. Specific vision abilities for this job may include close vision, depth
perception, distance vision, and the ability to adjust focus.

Job Type: Part-time

Expected hours: 25.5 hours per week (5 days a week)

  • Customer service: 1 year (Preferred)

  • Saint Joseph, MI 49085 (Required)

Ability to Relocate:

  • Saint Joseph, MI 49085: Relocate before starting work (Preferred)
